Eventgroove Fundraising offers a few different ways to draw your winners and end your raffle or sweepstakes:

  1. Automatically at the date and time you set in campaign setup
  2. Draw when you want (by clicking a button in your account)
  3. Manually without using Eventgroove Fundraising

The winner drawing is an exciting time of any campaign, so we’ll walk you through these options and what you can expect from each of them here.

What to know before you draw winners:

  • Make sure you’ve entered all your sold physical tickets so that they’re included in your drawing. 
  • If you accepted checks as a payment method for raffle ticket purchases online, make sure you’ve marked those payments as received in manage check donations (see your campaign management menu). We’ll only include check payments that were marked as “received” in the drawing of your raffle winners.

If you’re doing an automatic drawing, then all you need to do is wait until the drawing date and time you’ve set in the ‘raffle’ or ‘sweepstakes’ section of your campaign setup. 

At the date/time of your drawing, your list of winners will be delivered to you automatically via email. You can also access their information in the ‘manage raffle/sweepstakes winners’ page of your campaign management.

If you’ve chosen the option for Eventgroove Fundraising to draw winners for you when you’re ready, all you’ll need to do is click one button to draw your winners. 

Note: You’ll only be able to draw winners on or after your drawing date. The drawing date is set by you in campaign setup. If you want to be able to draw winners sooner, simply adjust your drawing date in setup. 

Just follow these simple steps:

  1. Go to my campaigns in the left menu.
  2. If you have chosen list view, click on the title of your campaign. If you have chosen grid view, click on the campaign image
  3. Click the draw winners button in the menu.

Good to know:

  • The draw winners button will not appear until the entry deadline has passed.
  • If you’ve set your campaign so that winners will be notified by email, they will be notified on the specified date and time once winners are drawn. If the date you set has already passed, we’ll send the emails as soon as winners are drawn.

If you’re drawing your winners outside of our system, you’ll likely need to access the ticket numbers that were assigned to your online purchases. 

NOTE: Manual drawing of winners is available for raffles only.

Follow these simple steps to export tickets:

  1. Go to my campaigns in the left menu.
  2. If you have chosen list view, click on the title of your campaign. If you have chosen grid view, click on the campaign image.
  3. Click view donations*.
  4. Click export in the lower left corner 
  5. In the exported spreadsheet, you’ll see all the details about your tickets. You can use this to run your drawing in any way you see fit. 

*Note: Terminology on these buttons may be different according to the terminology that you’ve chosen for your campaign.
